Campus Vehicular Access

DEFINITION
Access to campus roadways between Kresge Way Gate (Kresge Way near Soldiers Field Park apartments) and Harvard Way Gate (Harvard Way & North Harvard Street).


TYPES OF ACCESS

  • Unload/load only (tools, supplies, materials). Green Pass for dashboard.

  • Students move in/move out. Yellow Pass for dashboard. (Limited to 1 hour).

  • Blue passes are issued when a contractor may need to make multiple trips onto campus throughout the day for a specific project. Contractors must always note that vehicles are only permitted onto campus for the duration needed to complete the work.

    • Requests to have vehicles remain on campus for the entire day must be specifically called out. They will be reviewed on a case-by-case basis.

DELIVERIES TO CAMPUS
Delivery personnel (including express couriers) have the option of short-term parking in the Spangler Lot as directed by the Parking Attendant and walking their package to its destination or delivering to Central Receiving. Other arrangements for campus access must be made with Operations/Security personnel in advance. Exceptions may include some larger volume deliveries, such as Poland Springs water, furniture, etc.


Traffic is generally one-way, entering campus at Kresge Way Gate and exiting through Harvard Way Gate.


DELIVERIES
Service vendors may access campus to drop off tools and materials that cannot be reasonably carried from the parking lot and are necessary to complete work on campus. The HBS project or service manager must request access in advance via Envoy.


Harvard University vehicles are routinely granted access for the purpose of performing service work. As with contractors, the name of the HBS manager responsible for the system in service will appear on the pass.


Waste removal vehicles may also be necessary to collect dumpsters from the Chao loading dock. These vehicles have standing permission to perform this work during business hours. Waste removal trucks for authorized projects must be added into Envoy by the project manager.


PASSENGER VEHICLES
Passenger vehicles (buses, taxis, vans, personal vehicles, rental trucks or trailers) are allowed on campus only when housing residents and/or Executive Education participants are moving in or out of HBS facilities or Soldiers Field Park building #1 or #2. Typically, this would occur on the first and last days of a program. Exceptions can be made during extraordinary campus events such as reunions and commencement, and for group travel sponsored by an academic program.


EXECUTIVE EDUCATION
Executive Education Participants are only permitted to drive onto campus during check-ins and check-outs or with prior approval from a member of the Guest Services team. Personal Vehicles belonging to Executive Education Participants should be parked in the Soldiers Field Garage after receiving a pass from Guest Services in the Chao Center.


STUDENT VEHICLES
Students living in the residence halls of HBS may access campus during the following hours: Monday-Friday, 4pm-11pm, and weekends & holidays, 7am-11pm. The student should present their ID to the security officer at the Kresge Way booth for access. Special access requests not covered above should be directed to HBS Security.


CONSTRUCTION VEHICLES
Construction vehicles are not permitted onto campus prior to 7am in accordance with city ordinances. Vendors must be authorized by the project manager in Envoy in order for access to be granted. If a subcontractor is being used, both the name of the main contractor as well as the subcontractor must appear in the Envoy request. Vendor vehicles are only authorized to drive onto campus for the duration needed for the work. Only vendor company-owned vehicles are permitted. Personal vehicles are not allowed. Parking for all vehicles not in active use for the project must occur in approved locations in the Spangler Parking Lot.
