Create Closed Lists
Create closed lists for jobs with interviews scheduled on-campus via the applications page.
Applications Page
The following closed-list related functions are available from this page:
- Add candidates
- Assign closed list name
- Assign closed list decision
- Check closed list status

Additional page notes:
- The closed list deadline date is listed on the toolbar. The display shows the first/earliest deadline if multiple lists are involved. A reminder email notification of the upcoming deadline will be sent by your Recruiting Coordinator.
- Closed List column(s) are hidden or read-only until the resume deadline for the job has passed.
- One or two Closed List column(s) may be visible. The screen shot below shows two columns - Closed List Name and Closed List Decision. The Closed List Name column appears only if you have more than one closed list for the job.
- If using the external application method, the applications page is blank. Add all interview candidates via the "add candidate" tool.
Add Candidates
Click "add candidate" to add a candidate who has not applied directly for the job (ex. candidate found through the resume book, recruiting event, etc.).
Enter student's full HBS email address in the Name field. The system will automatically add the new student to the applications page if the email address provided is correct. If your search is unsuccessful, you'll receive an error message and instruction to contact MBA Career & Professional Development.
Save after each addition and before exiting the dashboard.
Closed List Name
The Closed List Name column is only applicable to jobs with more than one closed list. If working with a single list, the system automatically defaults to that list.
If working with multiple closed lists/schedules for a given position, assign each candidate to one list.
Save your closed list name assignments often. Be sure to save all changes before using any other functionality on the dashboard.
Close List Decisions
Use the Closed List Decisions column to indicate each applicant's status on the closed list.
- Primary - candidate invited to interview
- Alternate - candidate invited to interview only if a primary slot becomes available; primary candidates are given first priority for interview slots
- Declined - candidate not invited to interview
- Not Reviewed - default status
Save your closed list decisions often. Be sure to save all decisions before using any other functionality on the dashboard.
Check Closed List Status
Each list has a maximum number of slots based on your interview reservation. Track available slots on each list using the Closed List Status tool accessible via the "Status" button on the toolbar.
If you exceed the allotment for a given list, an alert will appear requiring you to make the necessary adjustment before saving or making new changes to the dashboard.
Create Closed Lists
Start assigning candidates to lists. Save work after each change and before exiting the dashboard.
Sort Candidates and Bundle Applications
Sort candidates based on list or status. Click on the "Closed List Name" or "Closed List Decision" column header to group by list name or decision status respectively. Save to preserve sort order.
Bundle applications (by list, candidate type, etc.) based on closed list using the PDF Bundle button on the toolbar.
Save or open the downloaded files. The cover page includes the job title and list of applicants included in the bundle. Note: Manually added candidates will not have a resume/cover letter associated with his/her name.
Note: if you are using Internet Explorer version 6 you may only have the option to save (not download) applications. In this situation, we recommend you save and open from your local files, or use a different browser.
Manage Closed Lists - Important Details
- After the Closed List Deadline, lists are considered final and are submitted to MBA Career & Professional Development for approval
- Once submitted, the rest of the process (interview sign-up, notification, schedule distribution, etc.) is the same as in years past
- MBA Career & Professional Development approves all lists before publishing to students
- Invitations are sent from MBA Career & Professional Development. On-campus recruiters should not send out interview invitations to candidates.
- Students sign up for interview slots via the HBS system
- Final interview schedule bundles are sent by MBA Career & Professional Development once the schedules have frozen three business days prior to the interview date (applies to all except Spring Recruiting)
