Create an Account / Self Register

To Self-Register for an Account:

The first step to creating an account is to post a job.

If you would like to post a job and haven't yet created an account, click the "Post a Job" button. You will be directed to create an HBS Account by entering your registration information: First Name, Last Name and Email. Click "Continue" to proceed to the job posting form.

After you've entered all job posting information, you'll need to complete your registration.

Recruiters – HBS Alumni:

As an HBS alumnus/a, you are already a registered user. Use your Lifelong E-mail Forwarding Address (LEFA) and password. All HBS alumni have a LEFA and a password. Your LEFA is a combination of the first letter of your first name, your last name, and your graduating HBS program.

Enter your LEFA and password in the "Recruiters – HBS Alumni" login box.

If you haven't activated your LEFA, please contact the Alumni Records Office at 617-495-6438 or alumni_records@hbs.edu You may also choose to create an account while you wait to activate your LEFA. To do this, please refer to the Account Creation/Self Registration section.

Click the "Login" button to proceed to your Recruiter Dashboard

Recruiters – General (non-HBS Alumni):

If you have already set-up your HBS account, login to the system using your existing HBS user name and password.

Enter your email address and password under "Recruiters – General" and click "Login" to proceed to your Recruiter Dashboard.

Reset Password

Recruiters - HBS Alumni:

If you have forgotten your password, or if you would like to reset your password, click on the "Forget your Password?" link. This will take you to a page where you enter your email address and a new password.

Recruiters - General (non-HBS Alumni):

If you have forgotten your password, or if you would like to reset your password, click on the "Forget your Password?" link. Enter your email address and click on the "Initiate Password Change" button; the system will generate an email to be sent to the address you specified. You must click on the link provided in that email in order to complete the process; you will be taken to a page where you can enter a new password.

If the system indicates that your email address is not recognized, a registration for the address does not exist. If you have not yet registered for an account, please return to the registration page and follow the steps to Create an Account, above.

Post a Job

Select the target audience for your job posting, only targeting one audience per posting:

If you are posting to MBA students, narrow the scope of your posting one step further by indicating "Full-time" or "Summer Internship".

Next, select a recruiting season. During the transition between academic years (summer months), you'll have the option to select either the current or future year. Once the academic year is in-session (as of August 15th), the system will default to the current year.

If you are posting to Alumni, you will be asked to identify if you are posting "on Behalf of a Company" (your company) or "on Behalf of an Executive Search Firm."

For all postings, once you have completed this information, proceed to the 7-step Job Posting process.

Step 1: Contact

Confirm your preferred email address for admin communication about this posting. This field will be pre-populated with your login email address. If you wish to receive admin communication about the posting at a different email address, enter the new email address in the text field provided.

Next, provide contact information for the position itself. This information will be included in the job posting, and will be viewable to the target audience. All contact information fields are required.

Previously entered contact information will be pre-populated; highlight the appropriate field to make any necessary changes.

Click "Continue".

Step 2: Company

Provide information about your company:

If you are posting to Alumni on behalf of an Executive Search Firm, you will provide information about the client company in addition to your company. The client company's name is optional. The Industry field will be set to Services: Consulting

If you are posting to MBA students on behalf of an Executive Search Firm, you must provide information about the client company in addition to your company. The client company's name is required in the Company field. The Industry field should be set to the relevant industry of the client company.

If you have posted a position in the system before, all the company fields will be pre-populated with the company information submitted for your last job posting. You can change the company details by highlighting the pre-populated text and typing over it with the new information.

Click "Continue" to proceed.

Step 3: Position

Provide information about the position:

If you are posting to MBA students, indicate where interviews for this position will be held:

Next, provide information about:

If you are posting to Alumni, specify the job Employment Type:

Next, please choose the salary range, from the drop-down menu, that most closely represents the position's base salary. You may provide additional pay including bonus and profit sharing. The minimum salary requirement for full time positions is $70-90K. For part-time positions the minimum salary requirement is $50-70K.

For all postings, provide narrative descriptions of the Position and Qualifications. The "Examples" links will present you with relevant sample entries for your reference.

Click "Continue".

Step 4: Applying

Indicate how you want to receive applications from candidates interested in the position:

In-System (recommended option*): candidates submit applications on-line, which will appear on your Recruiter Dashboard in the form of a downloadable PDF document. Indicate whether cover letters are optional or required.

*Note: This is the preferred application channel for all recruiters. Companies participating in on-campus recruiting (MBA student recruiters only) should choose the In-System application channel to facilitate the submission of closed lists.

Out-of-System: candidates submit cover letters via an external method, typically per an existing business process for your company. In the URL field, include your application web site. If the application process on your site is not explicit, please provide clear instruction in the Special Application Procedures field.

For all postings, you have the opportunity to include Special Application Procedure instructions; the "Examples" link will present you with relevant sample entries for your reference.

Click "Continue".

Step 5: Policies and Guidelines

In order to participate in recruiting activities at HBS, you must agree to a set of Recruiting Policies and Guidelines. Review the Recruiting Policies and Guidelines from this page. Enter your initials to certify that you have read and agreed to the Recruiting Policies and Guidelines.

Click "Continue".

Review the posting information submitted.

Complete the job posting process.

Recruiter Dashboard

The following functionality is currently available through your recruiter dashboard:

Note: Colleagues at your company who have also posted positions will not have access to your postings, nor will you have access to their postings.

Log in to the HBS recruiting system to view your Recruiter Dashboard. Your dashboard will show key information for each job posting:

Note: all jobs posted for both the 2008/09 and 2009/10 recruiting seasons are accessible via the dashboard. You may post additional jobs and manage existing jobs from the homepage of your dashboard.

Review Jobs

Click the position title to review your posted jobs. The full job description will be available for review (read-only). Return to the main dashboard to review additional postings. Please note that the job preview shown via the Recruiter Dashboard does not reflect the spacing and formatting on the student side.

Send any edits to existing postings to your MBA or Alumni Career Services contact.

Manage Applications

Receive Applications

Receive applications via the Dashboard for jobs using the in-system/internal application process. The application method (internal or external) is displayed on the dashboard homepage under the candidates column:

In-System/Internal: candidates submit applications on-line using the HBS Recruiting system. Once applications are received for in-system/internal jobs, the "--" under the Candidates column changes to "View (number of applicants)" with a link to the applications page.

Out-of-System/External: candidates submit resumes and cover letters via an external method, typically per an existing business process for your company. Applications for Out-of System/External jobs are reviewed outside of the HBS system.

If you choose to receive applications via the HBS system, you'll receive a Daily Digest Notification. Your daily email alerts you if you have received any new applications on your dashboard. Opt out of this digest by changing your notification status.

Applications Page

Login to your dashboard to view candidates for a specific job. The list of candidates who have applied for the job is accessible via the applications page. Click on "View" under the Candidates column to access the applications page from your dashboard.

Note: All job postings from both the 2008/09 and 2009/10 recruiting seasons are accessible via the dashboard. Please be sure to view applications for your postings from appropriate recruiting season.

View Candidates

To review applications for a given position, click on the page icon from your applications page. You will have the option to view, open, save or print a PDF of the candidate's application.

To review applications for a given position, click on the page icon from your applications page. You will have the option to view, open, save or print a PDF of the candidate's application.

Select Applications to Review

Review more than one candidate at a time by pressing Ctrl or Shift on your keyboard while clicking on the selection box to the left of the name. Or click "select all" at the bottom of the page.

Save your selections. Or, you may download the applications to a PDF bundle.

Bundle Applications

Bundle potential candidate applications by clicking the "PDF Bundle" drop down button and choosing "Bundle Selected Candidates".

Choose to include all cover letters and/or resumes for the selected candidates. Click OK.

Note: if you are using Internet Explorer version 6 you may only have the option to save (not download) applications. In this situation, we recommend you save and open from your local files, or using a different browser.

Additional Functionality - Email or Search Candidates and Sort Columns

Email Candidates

Click the email address to send an email directly to the candidate. The position title automatically defaults as the subject line.

Please note: MBA Career Services will send out the formal interview notification/invitation to students once the closed lists have been approved (this applies to on-campus interviews only). Please do not use this tool to invite students to interview with your firm.

Sort Columns

You have the option to sort columns by the following:

Note: The default sort is by date submitted. The name and email address columns are sorted alphabetically and date submitted is sorted chronologically.

Temporarily save your sort order by clicking "Save" on the toolbar, however, if you exit the system and log back in, the page will return to the default sort.

Search Candidates

Search for names within the candidate list.

Create Closed Lists (MBA Student Recruiters only)

Create closed lists for jobs with interviews scheduled on-campus via the applications page.

Add Candidates

Click "add candidate" to add a candidate who has not applied directly for the job (ex. candidate found through the resume book, recruiting event, etc.) or if you have selected the "External Application Channel".

Enter student's full HBS email address in the Name field. The system will automatically add the new student to the applications page if the email address provided is correct. If your search is unsuccessful, you'll receive an error message and instruction to contact the Career Services Office.

Save after each addition and before exiting the dashboard.

Closed List Name

The Closed List Name column is only applicable to jobs with more than one closed list. If working with a single list, the system automatically defaults to that list.

If working with multiple closed lists/schedules for a given position, assign each candidate to one list. Please contact your recruiting coordinator with any questions concerning schedules or closed list assignments.

Save your closed list name assignments often. Be sure to save all changes before using any other functionality on the dashboard.

Closed List Decisions

Use the Closed List Decisions column to indicate each applicant's status on the closed list.

Check Closed List Status

Each list has a maximum number of slots based on your interview reservation. Track available slots on each list using the Closed List Status tool accessible via the "Status" button on the toolbar.

If you exceed the allotment for a given list, an alert will appear requiring you to make the necessary adjustment before saving or making new changes to the dashboard.

Create Closed Lists

Start assigning candidates to lists. Save work after each change and before exiting the dashboard.

Sort Candidates and Bundle Applications

Sort candidates based on list or status. Click on the "Closed List Name" or "Closed List Decision" column header to group by list name or decision status respectively. Save to preserve sort order.

Bundle applications (by list, candidate type, etc.) based on closed list using the PDF Bundle button on the toolbar.

Save or open the downloaded files. The cover page includes the job title and list of applicants included in the bundle. Note: Manually added candidates will not have a resume/cover letter associated with his/her name.

Note: if you are using Internet Explorer version 6 you may only have the option to save (not download) applications. In this situation, we recommend you save and open from your local files, or use a different browser.
